VirtueStaff is seeking a detail-oriented Construction Compliance Specialist to support subcontractor/vendor compliance and payment readiness across multiple projects for our client. This role is responsible for collecting, tracking, and validating required compliance documentation (e.g., lien waivers, insurance, pre-liens), supporting pay application processing, maintaining accurate records in company systems, and coordinating with internal teams and trade partners to prevent payment delays. The Construction Compliance Specialist will also track key metrics to help the team understand volume, cycle times, and bottlenecks.

Responsibilities

  • Import manual subcontractor pay applications into Sage
  • Request, collect, and track lien waivers and insurance updates
  • Follow up on missing compliance documents by email and support compliance team as needed
  • Record and maintain insurance expiration dates; follow up on renewals
  • Review and approve subcontractor prequalification insurance certificates
  • Confirm and document organization changes (bank account, address, contact info) per internal process
  • Support subcontract and insurance audits (document checks, completeness, and status tracking)
  • Record Procore/Textura payments in Sage (per internal workflow)
  • Record and track pre-liens and maintain logs/status
  • File, track and renew local business licenses across multiple states
  • Track and report metrics (volume, cycle times, aging, and bottlenecks)

Requirements

  • 2–5 years of experience in construction compliance, AP, subcontract administration, or document control preferred
  • A degree is not required if applicable experience requirements are met
  • Strong understanding of subcontracts, lien waivers, and insurance requirements tied to payment
  • Highly organized, detail-oriented, and comfortable managing high document volume and follow-ups
  • Strong communication skills and ability to work independently in a remote environment
  • Experience with Textura, Procore and Oracle Fusion a plus
  • Strong Excel skills and a willingness to learn new tools
  • Effective communicator with strong cross-functional collaboration skills
  • Problem-solver who can follow processes and exercise sound judgment
