This role combines accounting precision with high-level administrative coordination in a fast-paced, remote property management environment. You will be responsible for ensuring financial accuracy across accounts payable, credit card reconciliation, and operational postings while also supporting leadership with scheduling and day-to-day executive assistance. The position requires strong attention to detail, structured execution, and the ability to manage recurring financial and administrative workflows without errors. You will work closely with operations teams and leadership, contributing directly to the efficiency and reliability of core business processes. This is a fully remote role aligned with U.S. time zones, offering exposure to international property management operations. It is ideal for a highly organized professional who thrives in dual-function roles that combine finance and administration.
Accountabilities:
In this role, you will be responsible for maintaining accurate financial records while supporting operational and executive administrative functions within a property management environment.
- Enter and manage accounts payable transactions with accurate coding by property and category
- Post financial transactions into property management systems (e.g., ResMan) with high accuracy
- Perform credit card reconciliation, matching transactions with receipts and resolving discrepancies
- Execute recurring financial workflows such as deposits, corrections, and utility bill-back processes
- Prepare operational reports and support data formatting for tools like Smartsheet
- Maintain organized financial and operational records across multiple systems (Drive, email, spreadsheets)
- Provide direct administrative support to leadership, including scheduling, follow-ups, and task coordination
- Support property management and operations teams with day-to-day administrative needs
- Maintain consistency and accuracy across all financial and administrative processes
- Proven experience in bookkeeping or accounting, ideally within property management or real estate (mandatory)
- Hands-on experience with ResMan or similar property management accounting systems
- Strong background in accounts payable and credit card reconciliation processes
- Prior experience providing administrative or executive support to senior leadership
- Strong written and spoken English with a professional and proactive communication style
- Experience working remotely with international teams, ideally US or UK-based companies (required)
- Familiarity with tools such as Google Workspace, Slack, Zoom, Excel, and Smartsheet
- Strong organizational skills with the ability to manage recurring tasks and deadlines accurately
- High attention to detail and ability to maintain error-free financial records
- Ability to work independently in a structured, deadline-driven environment
