This role is central to ensuring the smooth execution of commercial construction projects by managing the operational and administrative backbone of project delivery. You will oversee critical processes such as contracts, bonding, AIA billing, and documentation while ensuring accuracy and compliance across multiple active projects. Acting as a key coordination point between contractors, municipalities, vendors, and internal teams, you will help keep projects organized, on schedule, and financially aligned. The position requires strong attention to detail, structured thinking, and the ability to manage multiple priorities in a fast-paced construction environment. You will play a direct role in maintaining project visibility and ensuring that all administrative and financial workflows are executed correctly. This is a highly operational role where precision and proactive coordination directly impact project success. Accountabilities

In this role, you will manage the administrative, contractual, and financial coordination of commercial construction projects, ensuring all documentation, billing, and compliance processes are executed accurately and on time. You will support project continuity by maintaining structured records, coordinating stakeholders, and proactively tracking deadlines and deliverables.

  • Manage and organize commercial construction contracts throughout the full project lifecycle
  • Coordinate bonding processes, including bid bonds, performance bonds, and maintenance bonds
  • Prepare, review, and submit bonding documentation in compliance with project requirements and timelines
  • Handle AIA billing processes, including payment applications and Schedule of Values (SOV) updates
  • Track retainage, payment milestones, and resolve billing-related discrepancies
  • Maintain accurate project records and documentation within Buildertrend and related systems
  • Ensure data integrity across CRM and project management platforms
  • Coordinate communication with contractors, vendors, municipalities, and internal stakeholders
  • Support pre-construction and administrative project activities as needed
  • Participate in project meetings and provide status updates on assigned responsibilities
  • Identify potential risks or delays in billing, documentation, or contract execution and escalate when needed
  • Requirements

    You are a detail-oriented construction professional with strong experience in commercial project coordination, particularly in contracts, bonding, and construction billing processes. You are highly organized, reliable, and comfortable managing multiple workflows simultaneously while maintaining accuracy and structure.

    • Proven experience working with commercial construction contracts
    • Strong knowledge of construction bonding processes (bid, performance, and maintenance bonds)
    • Hands-on experience with AIA billing, payment applications, and Schedule of Values (SOV)
    • Experience tracking retainage and managing construction financial documentation
    • Strong proficiency in Microsoft Excel and Microsoft Office tools
    • Excellent written and verbal English communication skills
    • Strong organizational, time management, and multitasking abilities
    • Ability to work independently and manage multiple concurrent projects
    • High attention to detail with strong follow-through on deadlines and documentation accuracy
    • Experience with Buildertrend or similar construction management platforms is a plus
    • Background in commercial construction, project coordination, or related fields is highly valued
