As an Operations Associate, you will play a critical role in supporting high-value deal operations by ensuring that follow-ups, tracking systems, and reporting remain accurate and up to date at all times. You’ll work closely with leadership teams to coordinate workflows, maintain CRM data integrity, and provide operational support across ongoing deals. The position offers a high level of ownership without the pressure of sales quotas or heavy financial analysis. It’s a great opportunity for detail-oriented professionals who excel in consistency, organization, and proactive problem-solving. Working remotely during EST hours, you’ll contribute directly to operational efficiency and business performance in a collaborative and fast-paced environment.


Accountabilities:

  • Manage and maintain deal pipelines within HubSpot CRM, ensuring all stages, notes, follow-ups, and next steps are consistently updated and organized.
  • Track inbound interest, responses, and ongoing communications while ensuring no opportunities or tasks fall through the cracks during long deal cycles.
  • Coordinate timely and professional follow-up communications to maintain momentum across active deals and operational workflows.
  • Prepare and maintain Excel and Google Sheets tracking templates, transforming raw information into clear summaries, reports, charts, and operational insights.
  • Support the preparation of presentations, pitch materials, and client-facing documentation as needed.
  • Coordinate calendars, meetings, and deal-related calls while providing ongoing administrative and operational assistance to leadership teams.
  • Identify urgent priorities, proactively flag issues, and ensure leadership remains aligned on operational progress and next actions.
  • Requirements:

    • Previous hands-on experience using HubSpot CRM, particularly for deal tracking, task management, and follow-up coordination.
    • Intermediate proficiency in Excel and/or Google Sheets, including formatting, template management, and basic data handling.
    • Strong written English communication skills, with the ability to manage independent follow-up communications professionally and consistently.
    • Exceptional organizational skills with a high level of attention to detail and strong execution discipline.
    • Ability to manage repetitive processes, long sales or deal cycles, and high volumes of operational follow-ups efficiently.
    • Proactive mindset with the ability to anticipate issues, prioritize tasks, and work independently in a remote environment.
    • Availability to work EST business hours.
    • Candidates must be based in Latin America or South Africa.
    • Previous exposure to finance, M&A, investment banking, executive support, CRM workflows, automation tools, pitch decks, or data visualization tools is considered an advantage.
