We are seeking a highly organized, proactive, and reliable Executive Assistant to support our founder in daily operations. This role is perfect for someone who thrives in a fast-paced environment, loves keeping things organized, and takes initiative to solve problems before they even arise.

You’ll act as the right hand of the executive—managing daily operations, communications, and team coordination to ensure the business runs smoothly and efficiently.

Key Responsibilities:

Daily Operations:

Fill in and update the company P&L sheet every day.
Organize and maintain folders and documents on Google Drive.
Handle invoice sending, payments via Wise, and other admin tasks.

Team Support:

Answer simple internal questions from team members.
Double-check completed work for accuracy and consistency.
Onboard new employees (create emails, grant access, and share resources).

Executive Support:

Handle intro calls on behalf of the executive and prepare concise recaps.
Manage low-priority emails and messages to free up executive time.
Conduct research and present findings in a clear, organized format.

External Coordination:

Send tasks to freelancers and follow up on completion.
Send documents for AI transcription and organize the outputs.
Upload videos to Vimeo or Vturb.
Purchase and manage domains when needed.

Requirements

Exceptional organizational and time-management skills.
Excellent communication skills in English (both written and spoken).
Strong problem-solving and critical-thinking abilities.
Comfortable using tools like Google Workspace, Wise, and task/project management software.
Self-driven, detail-oriented, and able to work with minimal supervision.
