Our client is an East coast-based experiential marketing and event production studio that designs and delivers live experiences for brands, organizations, and cities; from brand activations and corporate programs to concerts, festivals, and community events, both locally and nationwide.

Our client is hiring an Executive Assistant to support the founder and leadership team across operations, communications, and project coordination as the company continues to grow.
This is not a background administrative role. The ideal candidate is someone who takes initiative, anticipates needs before they arise, and brings structure and calm to a fast-moving, creative environment. You will be embedded in the day-to-day rhythm of the business, from keeping the inbox under control to making sure vendors deliver and events come together without a hitch.
The ideal candidate is a highly organized, people-oriented professional who thrives in a collaborative, entrepreneurial setting, takes pride in the details, and understands that great execution behind the scenes is what makes client-facing moments shine.
Responsibilities:
- Manage executive calendars, schedule internal and external meetings, and coordinate across time zones with accuracy and follow-through
- Monitor, sort, and draft responses for leadership email, ensuring nothing falls through the cracks and communications are handled with professionalism
- Organize and maintain digital files, shared drives, and Notion workspaces so the team always has clear, up-to-date information at hand
- Support hands-on project management across events and internal initiatives.
- Follow up with vendors, partners, and collaborators to confirm deliverables, deadlines, and logistics
- Prepare, format, and polish proposals, presentations, and client-facing documents in Canva, Keynote, and Google Suite
- Support internal workflow and communication systems so the team operates efficiently as the business scales
- 1–3 years of experience in an executive assistant role. Background in events, marketing, or project management strongly preferred
- Advanced English communication skills, both written and spoken, with a polished and professional tone across all channels
- Proficiency in Notion, Canva, Keynote, and Google Suite, comfortable building and maintaining systems, not just using them.
- Highly organized with strong attention to detail and the ability to manage multiple priorities simultaneously in a fast-paced environment
- Flexible and adaptable, able to shift gears quickly.
- A collaborative, relationships-first mindset with a genuine interest in the people behind the work
- Self-directed and proactive
