Role Overview:

As an Executive Assistant, you’ll be the right hand to senior leadership, ensuring their time and priorities are managed effectively in a fast-paced, high-growth environment. You’ll play a critical role in keeping executives focused, efficient, and well-prepared, while also serving as a trusted liaison with internal and external stakeholders. This role is ideal for someone who thrives on organization, takes initiative, and enjoys working at the intersection of strategy and execution.

Your Impact:
By anticipating needs, managing priorities, and keeping projects on track, you’ll enable executives to focus on strategic growth while ensuring operational excellence. Within this role, your efforts will directly improve leadership efficiency, enhance cross-team communication, and help the organization scale smoothly as it continues rapid growth in the healthcare industry.

Core Responsibilities:

1. Meeting & Communication Support

Attend meetings, capture detailed notes, and translate discussions into actionable tasks
Track follow-ups and ensure accountability across teams
Act as a liaison between executives, internal teams, and external partners

2. Calendar & Scheduling Management

Manage complex calendars for senior leaders, resolving conflicts quickly and efficiently
Coordinate internal and external meetings across multiple time zones
Ensure executives are prepared with agendas and materials in advance

3. Task & Project Coordination

Monitor executive priorities, deadlines, and progress on critical projects
Proactively follow up on tasks to ensure timely completion
Support ad hoc projects requiring cross-functional collaboration

4. Logistics & Operations

Handle travel arrangements, accommodations, and event coordination
Prepare meeting materials, reports, and presentations
Maintain confidentiality when handling sensitive information

Requirements

Must-Have:

Proven experience as an Executive Assistant, Administrative Assistant, or in a similar role supporting senior leadership
Exceptional organizational and multitasking skills with strong attention to detail
Excellent written and verbal communication skills
Tech-savvy and proficient with Google Workspace, Slack, Zoom, and project management tools (Asana, Trello, or ClickUp)
Ability to work independently, exercise sound judgment, and adapt quickly in fast-paced settings
Comfortable working in a fully remote environment

Nice-to-Have:

Experience working in telehealth, healthcare, or other high-growth industries
Track record of supporting executives in scaling companies
Familiarity with advanced productivity or automation tools
