Role Overview

We’re looking for a Legal Intake & Case Manager who thrives in a fast-paced, high-volume operations environment and takes ownership without constant direction. You’ll manage multiple legal and tax-related client cases, from intake to completion, ensuring all required documents are gathered, reviewed, and filed accurately and on time.

This role requires someone proactive, detail-oriented, and comfortable creating structure where it doesn’t yet exist. You’ll collaborate closely with the internal operations and engineering teams to move cases forward efficiently and improve the underlying workflows and SOPs that keep the company running smoothly.

Key Responsibilities

Case Management: Own assigned cases end-to-end — monitor progress, follow up for missing information, and ensure timely completion.
Document Collection & Filing: Gather, review, and organize required forms and certifications with precision and accuracy.
Communication: Send professional, concise email updates to clients and coordinate internally with accountants, engineers, and legal staff.
Process Improvement: Proactively identify workflow inefficiencies and propose process or SOP updates to improve speed and accuracy.
Pattern Recognition: Spot recurring case types and preempt issues before they escalate.
Operational Support: Contribute to internal documentation and help build scalable systems to support growing case volume.
Product Feedback: Share insights and observations with the engineering team about platform usability and potential automation opportunities.

Requirements

Must-Have

2–4 years of experience in legal intake, case management, or paralegal support
Proven proactivity and independence — moves work forward without constant supervision
Strong organizational and multitasking skills; comfortable handling high volumes of documents
Excellent written communication in English (client interactions are email-based)
Experience in ambiguous or fast-paced environments where processes evolve quickly
Proficiency in Google Workspace, Slack, CRMs, and AI tools (e.g., ChatGPT, Superhuman, Gemini)

Nice-to-Have

Startup or tech company experience
Background in legal, tax, or compliance work
Experience building or improving SOPs or internal documentation
Familiarity with automation tools or case management systems
